The Sterile Processing Instrument Coordinator reports to the Sterile Processing Director and Manager. Under limited supervision, the Sterile Processing Instrument Coordinator will be responsible for ordering and inventory management of all surgical instrumentation. This position will also be responsible for tracking and maintaining financial data of instrument spends, provide cost saving initiatives and provide input on instrument quality trends. This position will also be responsible for managing in conjunction with the SPD supervisor's vender loaner, consignment trays for tracking and efficiency. The position will also manage the facilitation of the Sonar instrument tracking system data input and ensure data integrity. This position will provide monthly and quarterly reports of instrument needs, quality trends and opportunities. Provide tracking system training and staff updates at huddles, inservices and staff meetings.


Responsibilities and Essential Job Functions
  • Working in WorkDay System- Instrument ordering, order tracking, queries
  • Working in Sonar – updating count sheets, missing Inst list, etc.
  • Communicates with Surgeons and Resource Nurses
  • Works with vendors to obtain quotes and other needs
  • Budget Management – reviewing instrument costs and spend
  • Works with Aesculap Facilitator to maintain instrument par levels
  • Works in Excel to create spreadsheets for trends and opportunities
  • Lead by example, will be a super-user of Sonar instrument tracking system
  • Can comprehend and verbalize all the regulatory, safety and workflow processes of the department.  Demonstrates clinical and administrative competency.
  • Demonstrates professionalism, is fair, honest, and transparent.  Demonstrates a strong work ethic, follows through on all initiatives and meets deadlines.
  • Orders all instrumentation for SPD which includes Bell, Cambridge, ICC, Specialty Surgery and CVOR
  • Maintains/Creates accurate instrument inventory spreadsheets (repair, purchases)
  • Provide instrument reports as needed
  • Creates the needs list for trays and instruments that need to be ordered for each department
  • Adds new trays and other info into Sonar
  • Coordinate Sonar data base
  • Edits count sheets in Sonar as needed
  • Helps with instrument education-works with Educator
  • Troubleshoots issues with missing instruments
  • Puts new instruments away
  • Travels to ICC weekly to check inventory
  • Organizes extra instruments to eliminate extra ordering
  • Tracks all orders and updates leadership as needed
  • Monitors instrument spend and ordering from Aesculap
  • Tracks instrument repairs and scope repairs
  • Coordinate all instrument repair and service process
  • Partner with Capital Operations in all instrument purchasing process
  • Partner with sourcing and contracting regarding instrument contracts/service agreements
  • Ensure accurate instrument consignment management
  • Coordinate vender check in/out of vender instrumentation
  • Coordinate with supply chain in maintaining correct trauma instrument implants
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • High School Graduate
  • Sterile Processing Technician or Surgical Technologist experience
  • Experience with Excel, Outlook and PowerPoint

Preferred Education and Experience
  • Prior Sterile Processing leadership or Instrument Coordinator experience

Required Licensure and Certification
  • Certified Instrument Specialist (CIS) - Healthcare Sterile Processing Association (HSPA) within 1 Year
  • Certified Registered Central Service Technician(CRCST) - Healthcare Sterile Processing Association (HSPA) within 1 Year

Knowledge Requirements
  • Proficient verbal and written communication skills required
