Responsibilities
Job Summary
The PAN - Scheduling Coordinator is responsible for coordinating scheduling of Olathe Health Systems for Surgery, Ambulatory Surgery, and GI Endoscopy, and others as required. This person works closely with the physician and physician offices to assure a customer service approach is practiced and the process is simple and efficient. This person should have knowledge of surgical services areas and be familiar with specific needs as they relate to scheduling. This person is responsible for schedules being distributed in an accurate, legible, efficient and organized manner. The Coordinator directs others as necessary to achieve goals. This person also works closely with the Pre-Assessment nurses to assure scheduled patients are contacted in a timely manner and pre-procedure preparation is completed accurately. Communication of issues related to scheduling and/or patient preparation to the appropriate persons and in a timely manner is the responsibility of this person. The Scheduling Coordinator at Olathe Medical Center, Inc. is expected to support the mission, vision, and values of Olathe Medical Center, Inc.
Responsibilities and Essential Job Functions
- Consistently meets work schedule.
- Responsible for accurate, efficient, legible, and organized schedules for Surgery, ASC, GI Lab, and others, being distributed within the required time frames. Reviews schedules on a daily basis to identify conflicts, in-efficiencies, grammatical errors, room assignments, and other potential conflicts or cause for delays, able to make necessary corrections, and communicates to appropriate persons.
- Coordinates scheduling and pre-assessment staff to assure job duties are covered and completed. Able to perform in both the scheduling and pre-assessment roles as needed to assure time lines are met, customer service is provided and accuracy is maintained.
- Assures appropriate persons are aware of schedule changes and clarifies questions that may arise related to schedules and patient preparation. Able to identify problems as they arise and resolve independently.
- Coordinates work load and makes necessary arrangements in her absence to assure completion.
- Reviews physician orders on a daily basis, compares to scheduled procedures and makes corrections as necessary as well as communicates changes to appropriate persons.
- Monitors staff productivity as directed to include providing weekly productivity reports and weekly budget sheets.
- Maintains an excellent working relationship with physician office staff and works closely with each to accommodate individual needs and requests and promote customer satisfaction. Able to effectively arrange cases to provide for optimal room utilization and customer satisfaction.
- Assures schedulers and PAN nurses are kept current on changes with scheduling practices, processes, and software applications, documentation requirements, tracking data. Monitors compliance with policies and practices and implements actions to improve compliance as necessary.
- Assures department and associate schedule are completed accurately, published timely, and updated as changes occur. Assures that associate time records are completed accurately and timely.
- Reviews and approves time off requests in accordance with department processes, and communicated accordingly.
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
- Associate Degree Nursing
Preferred Education and Experience
- Previous healthcare experience
Required Licensure and Certification
- CPR/ AED/ BLS - Other BLS within 14 days
- Licensed Registered Nurse (LRN) - Single State - State Board of Nursing (Kansas) or compact license
