Supervises Inpatient/ Outpatient admission / registration policies and practices throughout the health system. Supervises the employee workflow and performance. Provides direction and leadership to front line staff and assures staff productivity, quality and customer service are monitored and meet the departmental standards. Works in collaboration with multiple departments throughout the health system. Supports and adheres to the University of Kansas Health System's Code of Ethics and Business Standards.


Responsibilities and Essential Job Functions
  • Provide relief coverage in planned or emergent absences of other supervisors, all shifts when requested. Provide relief coverage in emergent absences of employees, all shifts, when requested.
  • Interpret policies and procedures to employees, patients and visitors. Review time off requests for employees with decisions made to insure adequate staff coverage.
  • Provide initial and ongoing training of employees. See that new employees are oriented to department and shift policies and procedures and that all employees in appropriate classifications are cross-trained to provide relief for absenteeism. Analyze individual job performance and review expectations with employees. Review work content for quality and productivity; provide counseling as needed to help employees formulate plans for improvement. Maintain written documentation of all counseling sessions. Evaluate employees as required by personnel guidelines. Submit drafts to Manager prior to sending to personnel.
  • Communicate and coordinate with Emergency Room staff in the admission of patients and assist with registration problems as needed. Serve as Liaison between the patient and family members and other health system personnel. Keep abreast of administrative policies, department procedures, interface procedures of other departments: third party coverage, forms and requirements. Advice Manager of personnel activities and problems, complaints from patient/public, liaison activities and other information as it is received or situations develop.
  • Supervises staff to assure accuracy of demographic and insurance information. Monitors documentation of information in computer system with correct spelling of patient name and diagnosis, date of birth, social security number, employer, guarantor and correct medical record number.
  • Responsible for coordinating all inpatient registrations in a timely manner. Work in collaboration with Patient Placement for timely admission of patients.
  • Supervises bedside admission on patients who are direct admits to the unit. Coordinate staff going to the patient’s room to obtain signatures and complete admission process.
  • Monitors all WQs for registration. Assures staff are working accounts on a consistent basis. Reviews reports and looks for trending and need for education/ training.
  • Works closely with nursing staff, physicians, admitting staff and the finance department.
  • Insure that computer downtime procedures are followed per established guidelines. Problems should be documented as they occur and brought to the attention of the Manager.
  • Make periodic check of equipment to determine needs for repair and see that employees have adequate supplies to work with.
  • Perform related assignments as required by the Director, Assistant Director, Manager and other administrative representatives. Keep manager informed of VIP admissions, unusual admissions or patient activity.
  • Monitor waiting rooms in Admitting and Outpatient areas to assure patients are registered timely and receiving the necessary care required while they are waiting for their admission / procedure.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • High School Graduate or GED.
  • Associates Degree in a related field of study from an accredited college or university.
  • 3 or more years of experience in admitting/patient registration, pre-registration & pre-certification, or patient accounting experience.
  • 2 or more years of experience in customer service.

Preferred Education and Experience
  • 1 or more years of experience in Epic.
