Position Summary / Career Interest:

The Assistant Director - HME will assist with oversight of the day-to-day management of the Home Medical Equipment (HME) operations of The University of Kansas Health System, including personnel management, business operations and financial performance. This individual is also responsible for oversight of retail store(s), prioritizing customer/patient needs and support, by providing quality retail products and optimizing revenue, through effective cost management. This position is responsible for analyzing and developing creative ideas for streamlining operations and procedures.


Responsibilities and Essential Job Functions

  • Oversees the daily operations of the Home Medical Equipment (HME) retail store(s)/liaison and/or consignment to ensure appropriate action is taken. Manages the retail store(s) and daily operations as a subject matter expert in resolving issues per established organizational policy. This may include inventory control, cycle counts, point of sale process, and generally resolving patient concerns.
  • Must be able to perform and oversee the professional, clinical and or technical competencies of the Home Medical Equipment department, as applicable to the individual’s credentials/licensure.
  • Promote a continuous quality improvement and customer service effort to enhance the services provided to internal and external customers.
  • Acts as a resource supporting day-to-day operations which include, but are not limited to, responding to escalations, advising on how to de-escalate. Works closely with other HME areas to resolve patient/customer/referral source issues.
  • Develops and implements plans and programs to increase sales. Coordinates sales and operations to promote financial benefits to the organization. Responsible for development of departmental budget, in conjunction with Senior Director, Business Development and Strategic Initiatives, and for achievement of financial goals.
  • Works with accounting/finance departments to review accuracy of financial statements and sub-ledgers for accounts receivable and inventory.
  • Provide oversight for education and training of new and existing personnel.
  • Ensures appropriate scheduling and coverage in planned or emergent absences of HME personnel.
  • Interprets and explains policies and procedures to employees, patients, and visitors. Assists with policy/procedure development, in conjunction with other subject matter experts.
  • Works closely with HME Customer Service Supervisor, customer service representatives, and other patient financial services staff to ensure swift and satisfactory resolution to patient issues. Frequent contact with patients to provide special services as needed.
  • Prepares reports to HME Senior leadership on any staff issues, trends in staff performance, trends in patient issues and patient call volumes.
  • Performs Human Resource management functions including interviewing, selection, orientation, education/training, feedback, performance evaluation, and policy and procedure development. Ensures employee competency and maintains written documentation of all counseling sessions as needed. Maintains and monitors Kronos records for all HME employees as well as direct reports.
  • Comply with appropriate regulatory controls, internal safety guidelines, federal and state regulations, third party payer requirements, and accreditation standards, as they relate to all aspects of HME operations.
  • Maintain policies, procedures, forms and document control for HME operations.
  • Promote community relations and represent The University of Kansas Health System in community business endeavors.
  • Assist with review of third party contracts for reasonable payment amounts, reconciliation of third-party payer remittance advices and monitoring accounts receivable.
  • Responsible for accreditation, proper business licensing and ensuring staff maintain proper licenses and credentials.
  • Maintain current knowledge of Medicare and other payer guidelines for dispensing and billing HME products and items.
  • Oversee relationships with collaborating departments to maximize efficiencies related to billing, finance, reimbursement and supply management.
  • Perform all other assignments as requested by the Senior Director and/or other Senior leadership.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience

  • Bachelors Degree in Business Administration, Respitory Therapy, or a related field of study from an accredited college or university.
  • 5 or more years of experience in Home Medical Equipment (HME).
  • 7 or more years of leadership experience.


Preferred Education and Experience

  • Master's Degree in Business Administration or a related field of study from an accredited college or university.


Required Language Skills

  • Fluent English - Fluent in English with advanced communication skills.


Knowledge Requirements

  • Proficient with Microsoft applications and other software programs.
  • Familiar with Lean concepts, six sigma processes or adjacent organizational structures.
  • Strong problem-solving skills.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands.
  • Critical thinking skills
