Position Summary / Career Interest:

The Surgery Schedulers are responsible for scheduling the procedures for Olathe Health Systems done in Surgery, Ambulatory Surgery Center, and the GI Departments. The Surgery Scheduler for the Pain Management Center is responsible for scheduling appointments for the Pain Management Center. The Schedulers work collaboratively with the physician's office and/or patient to determine an acceptable date/time for the procedure / appointment(s) to be scheduled. He/she enters the required data into the automated scheduling system after confirming no conflicts exist. The Scheduler also is required to perform miscellaneous other clerical duties. Effective, efficient, and timely scheduling is a key component for customer satisfaction. The GI Scheduler is responsible for scheduling the procedures for Olathe Health Systems done in the GI Department and Main OR. The Scheduler works collaboratively with the physician's office and/or patient to determine an acceptable date/time for the procedure / appointment(s) to be scheduled. He/she enters the required data into the automated scheduling system after confirming no conflicts exist. The Scheduler also is required to perform miscellaneous other clerical duties. Effective, efficient, and timely scheduling is a key component for customer satisfaction.


Responsibilities and Essential Job Functions

  • Assists with orienting new employees to the scheduling process and does so in a positive, helpful, and accurate manner.
  • Consistently meets work schedule.
  • Demonstrates ability to schedule procedures in a manner to maximize utilization of available time and meet needs of the physician / patient.  Is responsible for communicating and clarifying information or schedule changes to appropriate persons to facilitate minimal scheduling errors.
  • Demonstrates the ability to use medical terminology and grammar accurately 98% of the time.  Demonstrates proficiency with computer skills and various office equipment.
  • Familiar with and demonstrates ability to effectively use the automated scheduling program and keeps current with changes, updates, revisions, etc. as they relate to the program.  Offers suggestions to improve efficiency with scheduling.
  • Maintains a customer friendly relationship with office personnel and accommodates requests in a customer friendly manner.  Able to effectively adjust the schedule to provide a workable, smooth schedule on a daily basis.
  • PMC – Able to schedule, reschedule, cancel, modify, etc a minimum of 5 appointments per worked hour.  Does not let orders remain in scheduling queue for longer than 24 hours.
  • PMC – Completes daily reminder calls to patients prior to the day of service.  Assists with daily charge audits as directed.  Assists with maintaining and organizing various logs, records, and miscellaneous data as directed.
  • PMC – prepares patient charts prior to the day of service to include reports, office notes, etc.  Contacts manufacturer representatives to notify them of scheduled procedures when applicable.  Maintains PMC calendar within the scheduling system to reflect accurately.
  • Prepares and distributes schedules as required and in a timely manner.
  • Surgery, ASC, GI – Able to schedule a minimum of 4.6 cases per worked hour in addition to rescheduling, cancellations, modifications, etc.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience

  • High School Graduate


Preferred Education and Experience

  • 1 or more years of experience
  • Previous healthcare experience
