Position Summary / Career Interest:
The Surgery Coordinator is responsible for scheduling and coordinating all surgeries and procedures within the service line. This position also obtains insurance authorization, pre-operative clearance, and coordinates pre-operative patient education and instructions. The Coordinator works collaboratively with the operating rooms, vendors, clinicians and patient to determine an acceptable date/time for the procedure / appointment(s) to be scheduled. He/she enters the required data into the automated scheduling system after confirming no conflicts exist. The Coordinator also is required to perform miscellaneous other clerical duties. Effective, efficient, and timely scheduling is a key component for customer satisfaction. Demonstrates superior customer service at all times.

Responsibilities and Essential Job Functions
- Schedules procedures in a manner to maximize utilization of available time and meet needs of the physician / patient. Is responsible for communicating and clarifying information or schedule changes to appropriate persons to facilitate minimal scheduling errors.
- Demonstrates the ability to use medical terminology and grammar accurately all of the time. Demonstrates proficiency with computer skills and various office equipment.
- Familiar with and demonstrates ability to effectively use the automated scheduling program and keeps current with changes, updates, revisions, etc. as they relate to the program. Offers suggestions to improve efficiency with scheduling.
- Maintains a customer friendly relationship with office personnel and accommodates requests in a customer friendly manner. Able to effectively adjust the schedule to provide a workable, smooth schedule on a daily basis.
- Prepares and distributes schedules as required and in a timely manner.
- Assists with maintaining and organizing various logs, records, and miscellaneous data as directed.
- Assists with orienting new associates to the scheduling process and does so in a positive, helpful and accurate manner.
- Is cross-trained to other areas of the clinic and seeks out opportunities to provide assistance to co-workers.
- Responsible for instructing patients on surgery/procedure information to include: location, day, time, and any preparation that may be required. Verifies necessary information (clinical, financial, etc.) and records in the medical record.
- Coordinates: surgery/procedures with hospital, radiology, lab personnel, including any preoperative requirements (e.g. cardiac and pulmonary clearances), and/or other providers as indicated.
- Is required to maintain adequate documentation of all surgery/procedure scheduling in scheduling system and EMR as indicated.
- Patient Activities: * Obtains precertification or referrals if needed and notifies hospital or other departments with authorization information. * Responsible for notifying billing personnel when scheduling uninsured patients. Coordinates patient appointments with other providers
- Answers phone and takes messages, screen calls, provides information, and coordinates information among parties as indicated. Also participates in sending reminders and making follow-up calls for recall procedures.
- Responsible for KPIs and data collection relevant to the surgical service line
- Identifies all surgical procedures that result in a cancellation or no show for service line/physician review
- Responsible for all performance improvement initiatives involving the surgical process and scheduling
- Coordinates all inpatient consults/ER Call patients for scheduling and follow-up in the clinic
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
- High School Graduate
Preferred Education and Experience
- Bachelors Degree
- Previous healthcare experience
- Previous surgery scheduling experience
