The Administrative Project Coordinator is responsible for managing and coordinating a variety of department of projects, activities, reports, and schedules. Develops procedures to ensure efficient and timely operations. Maintains a working knowledge of administrative support utilizing strong computer skills including the use of databases, spreadsheets, word processing. Possesses the ability to track and manage multiple projects and tasks in a collaborative environment.


Responsibilities and Essential Job Functions

  • As the receptionist for the executive office, in a professional and cordial manner, the Administrative Project Coordinator:
    • Greets and assists visitors to the executive office, including patients or family members wanting to express a concern or complaint
    • Answers the executive office main line and directs callers appropriately, including patients or family members wanting to express a concern or complaint
    • Keeps the reception area tidy and welcoming
  • Provides administrative support to two Sr Nursing Directors at the Olathe Campus
  • Manages special project work as assigned by executive assistants in the Hospital Executive Office.
  • Manages conference room schedules on the Olathe Campus
  • Manages stocking and tidiness of conference rooms and kitchenette.
  • Assists with coordination of site surveys including TJC, State, Magnet and other visitors.
  • Responsible for proactively ordering office supplies, coffee, water, kitchen items, etc., as needed. Keeps storage closet orderly.
  • Trouble-shooter for HEO copiers/printers/fax machines; expert at running Conference Room A/V systems.
  • Coordinates special events for executive staff and Olathe campus location, including Birthday Lunch staff celebrations for Olathe and Miami County locations.
  • Processes invoices for payment, helps with preparing expense reports and travel arrangements, as needed.
  • Creates and maintains comprehensive executive staff contact listings for internal and external customers.
  • Assists with open and closing procedures for the Olathe campus
  • Works closely and collegially with the other Executive Support Team members.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience

  • High School Graduate
  • 5 or more years experience in administrative assistance or project management.


Preferred Education and Experience

  • Associates Degree in business or similar area of study
  • Bachelors Degree in business or similar area of study


Required Language Skills

  • English -


Knowledge Requirements

  • Specific knowledge and skill in using following programs: Microsoft Word, Microsoft Excel, Microsoft PowerPoint
  • Strong computer skills including the use of databases, spreadsheets, word processing.
