The HIM Coding Manager is accountable for daily operations providing integrity, timeliness and accuracy of our coding. This will include utilizing reports, dashboards and other accessible tools to manage throughput of work in volume, dollars and defects in order to staff appropriately. The Manager hires talented employees and supports their continued career development. The Manager serves as a resource to the Health System on quality and concerns that affect the integrity of the medical record. The HIM Coding Manager supports the Health System mission and strategic plan, budgeting and resource allocation, Health System policy, and overall management plan of the Health Information Department.


Responsibilities and Essential Job Functions
  • Manages day to day operations within the HIM department to include timely and accurate coding from our HIM inpatient and outpatient coding teams, and all our ambulatory coding teams.  May meet with Health System Leadership to share coding status, coding/documentation opportunities, as well as any training opportunities.
  • Provides leadership presence and guidance through direction and role-modeling. Conducts daily work que review, assists HIM and Coding Supervisors with workload prioritization and redistribution, reviews reports, assists in process improvement to optimize reimbursement and utilize human and capital resources efficiently, and conducts walk-through of all areas.  Responsible to manage operational and staffing budgets.
  • Manages human resource functions such as interviewing, selection, orientation, education/training, feedback, performance evaluation, and policy and procedure development. Maintains personnel files, including documentation of appropriate staff orientation, competency, training, discipline and performance reviews. Oversees department timekeeping and payroll. Collaborates with HR concerning employee issues and performance. Conducts employee coaching, counselling, disciplinary actions and annual appraisals. Monitors staff adherence to hospital and departmental policies and procedures.
  • Develops and recommends policies and procedures that will increase efficiency in coordination with all departmental areas and external departments.  Ensures that established policies and procedures are adhered to. Meets regularly with staff to discuss progress of work, resolve problems, and ensure standards for quality and quantity of work are met.
  • Coordinates and maintains quality improvement data and ensures data integrity for all programs reported by the department.
  • Analyzes reports, recommends and develops strategies on how to improve quality, production and satisfaction.
  • Identifies problems, provides solutions and courses of action.
  • Monitors weekly productivity and monthly quality scores being measured to ensure reporting and necessary follow-up is taking place.  Ensures adherence of procedures and policies.
  • Understands and manages to the dependent workflows of other teams that are impacted by timeliness and quality of own team’s work.
  • Completes special projects assigned by leadership.
  • Consults with other Health System departments regarding the HIM functions maintained by those departments.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • Associates Degree in Health Information Management or Coding Certificate In Health Information Management (AHIMA, AAPC) from an accredited college or university.
  • High School Graduate or GED.
  • 7 or more years of hospital inpatient/outpatient and/or ambulatory physician coding experience including 1 year of leadership experience.

Preferred Education and Experience
  • Bachelors Degree in Health Information, Health Administration, Finance or other related field from an accredited college or university.

Required Licensure and Certification
  • Credentialing required in one of the following areas Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) or Certified Coding Specialist (CCS)CIRCC, RCCB or CPC, CCS-P certification. (For facility inpatient coding manager RHIT or RHIA required).

Knowledge Requirements
  • Ability to drive among Health System locations.
  • Epic experience preferred.
