Administrative Support Coordinator
The Administrative Support Coordinator - Biomedical Engineering supports compliance of the medical equipment database, analyzes information and develops reports to support decisions regarding capital equipment replacement, quality and compliance, and service contracts purchase and renewal. Analyzes database system performance, maintains accuracy and integrity of equipment data including purchase cost, date of purchase, life expectancy, etc. Analyzes equipment service contract base to reflect third-party coverate, communicate between vendor, manufacturer, and customers for scheduling of service, and acquire vendor service reports for documentation of all third-party services and costs. Conducts operational analysis in cooperation with equipment owners in preparation for equipment replacement processes.
Responsibilities:
- Demonstrates competence in the areas of critical thinking, interpersonal relationships, and technical skills.
- Supports compliance of the medical equipment database, analyzes information and develops reports to support decisions regarding capital equipment replacement, quality and compliance, and service contracts purchase and renewal.
- Analyzes database system performance, maintains accuracy and integrity of equipment data including purchase cost, date of purchase, life expectancy, etc.
- Verify and update equipment classification, model, manufacturer, and vendor information for new and existing equipment.
- Verify and update medical equipment maintenance schedules to ensure adherence to manufacturer's standards and assign monthly Preventative Maintenance workorders in accordance with those set schedules.
- Create and send inventory/equipment related reports as requested by department personnel
- Analyzes equipment service contract base to reflect third-party coverage, communicate between vendor, manufacturer, and customers for scheduling of service, and acquire vendor service reports for documentation of all third-party services and costs.
- Create and send operational reports to Hospital and Department Leaders and equipment users.
- Assists in tracking long term temporary equipment utilization.
- Conducts operational analysis in cooperation with equipment owners in preparation for equipment replacement processes.
- Identify process improvement opportunities through introspective, statistical and focused review of processes in the department.
- Collaborate with department leadership to identify priorities and projects.
- Collaborate with user departments to certify data integrity.
- Act as liaison between the Biomedical department and all user departments..
- Coordinates and oversees special projects as requested by Biomedical Engineering Leadership.
- All other assigned duties

JOB REQUIREMENTS
Requirements
- High school diploma
- 3+ years of broad administrative/secretarial experience
- Proficiency in Microsoft Word, Excel and Powerpoint
Preferred
- Associates degree in Business or related field
- Familiarity with equipment management software
- Experience in data review and analysis, computer systems or maintenance management, preferably in health care
