Pathology Office Supervisor
The Pathology Office Supervisor manage and oversee the daily activities and job performance of the Pathology Support Staff who perform transcription, manage specimen referrals and send-outs, and coordinate Pathology Consults. Responsible for recruitment, training, and evaluation of employee performance.
Responsibilities:
- Collaborates with Section Medical Director and other lab leadership to ensure the lab is inspection ready and services provided are of the highest quality.
- Assists leadership to develop, revise, and implement policies and procedures.
- Manages performance of staff including adherence to policies and procedures, development, coaching, counseling, training, competency, performance evaluations, check-ins and continual education.
- Determines appropriate staffing levels, including the hiring and training of staff members, to facilitate the delivery of efficient and effective laboratory services.
- Develops and manages staff schedules, approves time off and executes payroll activities.
- Supervises daily work activities in the lab including but not limited to: incoming and outgoing pathology referral testing, pathology material organization, storage, and retrieval, pathology transcription, pathology consultation services, and EMR pathology order tracking and documentation.
- Assists leadership in resource planning and department budget processes.
- Ensures compliance with all regulatory and safety standards and enforces policies and procedures.
- Ensures laboratory meets quality standards and productivity metrics.
- Facilitates root-cause and corrective action planning.
- Ensures supplies and equipment are ordered and maintained to meet laboratory needs.
- Collaborates with external stakeholders such as contracting, supply chain, vendors, EVS, biomed and nursing, among others, to ensure daily operational and patient needs are met.
- Instructs, orients, and mentors' students, employees, residents, patients and other health care providers as applicable.
- Develops, manages, and adapts LEAN workflows and electronic tracking methods for incoming and outgoing pathology referral lab orders, specimens, blocks, and slides. Oversees the tracking of pending results from referral labs and troubleshoots when necessary. Maintains an up to date knowledge of CMS billing rules and communicates with team members on how to apply the rules correctly to different situations.
- Attain and maintain current training for Department of Transportation for shipping of biological samples.
- Acts as a primary resource for pathology office related telephone and email inquiries, addressing customer and physician needs and concerns. Consistently demonstrates an aptitude for clear and respectful verbal and written communication with employees, patients, physicians, and clinicians.
- Demonstrates strong aptitude for navigating and operating within laboratory and health system information systems software.
Required
BA/BS Bachelor’s degree in related field
Must have 2-3 years of laboratory experience.
Proficient in typing and data entry
Skilled in the use of Microsoft: Word, Excel, Access, Power point with an emphasis on Excel spreadsheet management.
Strong analytical and problem – solving skills.
Must be able to read, write and speak English. Must have excellent telephone, verbal and written communication skills.
Preferred
Bachelor’s degree in Information Systems, business related field or a biological science
ASCP certification in a laboratory specialty
An understanding of pathology laboratory workflow and processes.
